Another month, another release notes. And this one's a big one!
The CPL Learning team has been working hard behind the scenes, and we're excited to share not only our latest improvements, but also something we've been building towards for a while now.
What's new
A Fresh Look for CPL Learning
This is the one we've been working towards, a completely refreshed look and feel for CPL Learning, and we're excited to finally share it with you.
We've been quietly working on this over the past few months: cleaner, more modern, and designed to make navigating CPL Learning easier, with a lot of your feedback in mind.
Here's a look at how things are evolving:
We're rolling this out gradually across our customer base, so keep an eye out.
If you'd like to know more about what's coming and when it might reach you, reach out to your Account Manager or CSM/TSM. They'll be happy to walk you through it.
Mark Course as Obsolete
Keeping your course library clean and up to date just got a lot easier. Course owners and CPL Learning admins can mark courses as obsolete, hiding outdated or duplicate courses from management views without deleting any data.
Here's how it works:
The Mark obsolete button appears on courses you own.
Clicking it shows a confirmation, clearly explaining what will change before you commit.
Once marked, the course is immediately hidden from the course library across all companies that have shared access to it.
An Include obsolete filter lets you still find and view the course if needed.
You can reinstate the course at any time.
For non-owner admins (licensed users who don't own the course):
You can see the obsolete banner on the course, but you cannot mark or reinstate it. Only the course owner can.
You'll see the message: The owner has marked this course as obsolete. Please contact them if you have any queries.
What stays the same:
Learners who already have the course assigned can continue to complete it.
No data, completion records or allocations are deleted.
The course will still appear in Journey reports with an Obsolete label, so you can continue tracking progress for anyone already enrolled.
A few key things to keep in mind:
Owner-only action: Only the company that owns the course can mark it obsolete or reinstate it.
Management views only: Obsolete courses are hidden from admin course lists by default; learners are not affected.
Affects all companies: When a course is marked obsolete, it is hidden from management views across all companies that have shared access.
This is available across both the old and new version of CPL Learning, as well as Course Builder.
Notification Improvements
We've been working on making notifications smarter and more timely across CPL Learning, helping ensure the right people get the right reminders at the right time.
Here's what's new:
Compliance Group Approaching Due â Updated Reminder Strategy
Previously, employees received a single reminder notification 5 days before their compliance group deadline. We've now updated this to give employees more time to act.
Reminders are now sent at 28, 14 and 2 days before the due date, giving employees multiple opportunities to complete their required training before it becomes overdue.
These notifications are sent across all channels: Feed, Email and Evo Feed.
Please note: These notifications respect your existing notification preferences. If you have compliance group reminders turned off, you will not receive them.
Email Verification
We've introduced one-time passcode verification for users on the new authentication method.
When logging in, users with a verified email address on their account will now receive a verification code by email. Simply enter the code on the verification screen to finish signing in.
Resend Messages â More Control Over Who You Reach
Admins can now resend welcome messages with more flexibility, choosing exactly who should receive them, rather than sending to everyone at once.
When triggering a resend from Notifications -> Templates -> Resend Messages, there are two options available:
Resend only to those who haven't logged in yet: Automatically filters down from the selected user group and sends only to users who have never logged in. It also tells you how many messages have been sent.
Pick specific users: Displays a list of users from the selected user group, allowing you to select exactly who should receive the message.
This functionality is available in the Admin Tool.
Display Name â Now Read-Only
To help prevent impersonation, users can no longer edit their own display name. The display name field is now read-only across the platform, regardless of how you log in, whether via SSO or username and password.
This applies to both the old and new version of CPL Learning.
Your display name is set to your real name by default. If you need to make a change, please reach out to your manager or the support team.
Events â No Show Outcome
We've added a new "No Show" option to the event outcomes dropdown, making it quicker and easier to record attendance outcomes.
Previously, recording a no-show required selecting Not Attending and then picking No Show as a reason from a longer list. It's now a standalone option in the dropdown, so you can record it faster with fewer clicks.
A couple of things to note:
This option is only available for past events; it won't appear for future events.
When downloading the Excel report for the event attendance list, no-shows will now appear as No Show rather than Not Attending.
This is available on both the old and new version of CPL Learning.
Edit Published Discover Items
Managers can now edit published items in Discover, making it easier to keep content up to date.
This feature is available in the new version of CPL Learning only.
You can update the title, description, tags, publish date, expiry date and replace the existing media or link (like-for-like only).
Once an item has been edited, the edit modal will display Edited on [date] by [name], so there's always a clear record of who last updated it and when. This information is visible only to managers in the edit modal and is never shown to learners on the feed.
A few things to keep in mind:
The publish date and feed order are not affected by edits.
No version history is kept; only the latest version is stored.
The Edit option is only available on items you own, shared (read-only) feeds cannot be edited.
How to access this update
This release represents a significant step forward for CPL Learning.
