It's only been a few weeks since our last update β€” and we're already back with more!

The CPL Learning team has been busy, and here's a roundup of the latest updates and improvements we've shipped. πŸ‘‡

Email Templates – a clearer, more consistent communication experience

We’re continuing our work to redesign all email notifications across CPL Learning, focusing on improved clarity, consistency and structure.

Previously, email notifications varied in structure, tone and clarity, which could sometimes lead to confusion. We're fixing that by introducing a consistent, clean and professional email design across the platform.

Following on from our last release, the following notification categories have now been updated and are live:

  • News

  • Events

  • Library

More categories are coming soon β€” watch this space!


Splash Notifications – deep linking update

You may already be familiar with Splash Notifications β€” a great way to grab your users' attention with targeted messages directly on their screen. This release introduces an improvement that makes it easier for users to reach the content you want to highlight.

Previously, you could add a library item to a splash notification. You can now take this a step further by adding a direct link to a course. When users click the notification, they’re taken straight to the course page without needing to log in again.

The result is a smoother experience with no new tabs and no interruptions.

Here's what's new:

  • Add a direct course link to any splash notification

  • Users are taken straight to the course β€” no re-login required

  • You can customise the link text so users see a clean, readable label instead of a long URL

Please note: To use this feature, users must have access to Content Hub. Additionally, deep links only work when clicked directly from a splash notification and cannot be copied or used in external emails or other channels.


Evo Integration Update – user status sync

If your organisation uses the Evo integration, this update resolves an issue with how user statuses are synced between Evo and CPL Learning, ensuring both systems stay aligned.

Here's what changes depending on the user's status:

Deleted users

When a user has been created in Evo but has never completed their registration (status: "Added"), and they leave the company, their Evo record is deleted. This happens because:

  • Unregistered users cannot be set to Inactive in Evo

  • Deleting the record prevents a terminated employee from completing their registration after leaving the company

Previously, when this deletion occurred, the corresponding CPL profile remained Active, even though the user's name was updated to Deleted User.

This inconsistency has now been resolved. When an Evo record is deleted, the CPL Learning profile is updated accordingly β€” the user record is kept, but all personal details are wiped, appearing simply as Deleted User in the Admin Tool.

Deactivated users

When an active Evo user leaves the company, their Evo record is deactivated rather than deleted. This allows the record to be re-enabled if the employee is rehired, so they can use the same account again.

Previously, when this deactivation occurred, the corresponding CPL profile remained Active β€” the status was not being synced correctly.

This has now been fixed. When a user is deactivated in Evo, their CPL Learning profile is set to Inactive β€” all user details are kept, only the status changes.


Password reset – updated behaviour for Evo users

We've made an update to how password resets are handled in CPL Learning for users who have been migrated to Evo.

When a user is migrated to Evo, their authentication is managed exclusively through Access Identity β€” not CPL Learning. As a result, the password reset option in CPL Learning is no longer valid for these users and has been disabled.

Here's what changes based on the user's migration status:

Users migrated to Evo

For users who have been migrated to Evo, the password reset and recovery code options are no longer available in the Admin Tool.

Migrated users can reset their own password at any time through the "Forgotten my password" self-service flow within Access Identity.

Users not yet migrated to Evo

For users who have not yet been migrated to Evo, nothing changes β€” the password reset and recovery code options remain available in the Admin Tool as before.


User management – new flexibility for non-Evo users

We've introduced two new updates that give administrators more flexibility when managing users across CPL Learning and Evo. Both updates address scenarios where organisations need to add users to one platform without automatically syncing them to the other.

Manually add non-Evo users to CPL

When the Evo β†’ CPL integration is enabled, CPL previously blocked all manual user creation. This meant that organisations that needed access to CPL Learning, but didn't need an Evo account, had no way to add users manually.

This has now changed. Admins can now bypass this restriction for specific users.

Here's how it works:

  • When an admin attempts to add a user manually, a pop-up warning appears confirming that the Evo β†’ CPL sync is active

  • The admin can choose to proceed and manually add a user anyway

  • The created user will have a CPL login only β€” they will not have an Evo account or email login

  • The user's profile will display a read-only indicator confirming they were created manually, outside of the Evo sync β€” this cannot be changed after creation

Suppress Evo profile creation when adding a user in CPL

When the CPL β†’ Evo integration is enabled, all users created manually in CPL are automatically pushed to Evo as new profiles. This sync runs every 30 minutes. However, organisations sometimes need to add users to CPL Learning β€” such as temporary staff who only need to complete a few courses β€” without generating an Evo profile for them.

This has now been addressed. When creating a new user in CPL, admins now have the option to suppress the Evo sync for that specific user.

Here's how it works:

  • When manually creating a new user, admins can tick a checkbox to control whether the user is synced to Evo

  • When viewing an existing user, this field is read-only


Evo Navigator – your learning tools, right where you need them

Evo Navigator introduces a new way to access your most‑used CPL Learning tools directly within the Navigator experience, without needing to open the platform.

Here's what's available:

Team Compliance panel

A quick overview of your team's compliance status. See at a glance who is non-compliant or overdue across your compliance groups β€” whether that's for your site or across all sites.

My Appraisals quick action

View and manage your active appraisals. You can go in, view your appraisal, add to it or amend it, and send it to your team managerβ€” all in one place.

Team Appraisals quick action

For managers β€” see all appraisals you're responsible for, add your comments, and move them forward to the next stage.

My Surveys quick action

See and action your active surveys. Only surveys that can be actioned will appear in this list.

My Checklists quick section

View and action any checklists that need your attention. Upload evidence, view resources, and sign off your checklists directly from Navigator.

Course Allocator quick action

For admins β€” search for employees or user groups and allocate courses directly from Navigator. The system will let you know if a course has already been allocated.

Event Calendar quick section

Browse upcoming events, book your place, or register your interest β€” all from a clean calendar view.

πŸ’‘ Evo Navigator is not available by default. To upgrade to Evo Navigator, speak to your Account Manager or CSM/TSM.
