Release notes — August 2026

Introducing a new Admin Tool experience, GDPR auto-anonymisation, duplicate employee detection, smarter event completion configuration, and more.

Another set of release notes, and this one's a little different!

Following on from our July release, we're back with more updates from the CPL Learning team.

This time, we're doing something a little special. Alongside the features we've already shipped, we're giving you a sneak peek at what's coming next.

This release is split into two sections:

  • Coming Soon: features that are on their way and will be available shortly.

  • What's New: improvements and updates that are already live.

GDPR - auto-anonymise inactive user profiles

We're introducing a new feature that will automatically anonymise user profiles that have been inactive for a configurable period of time, helping you stay compliant with GDPR requirements.

This will be released in two phases:

Phase 1: Configure your settings (coming next week)

The first step is yours to configure.

You'll need to go to the Admin Tool -> Details tab -> Permissions and configure a new setting that determines after how long inactive user profiles should be automatically anonymised.

You'll find a dropdown with the following options: 52, 104, 156, 208, 260, 312, 364 weeks.

If you don't configure this setting, a default of 156 weeks (3 years) will be applied automatically.

Phase 2: Full release (coming in around 4 weeks)

Once customers have had time to configure their settings, we'll release the full process. This includes:

  • A migration to process users who were already inactive before this feature was released.

  • A background process that will automatically anonymise profiles going forward, triggered when users become inactive.

Please note: as part of the migration, user profiles that have been inactive for longer than your configured period will be permanently deleted. We recommend reviewing your settings carefully before the full release.


Duplicate Employee Detection

We're excited to share that an improvement to the Employee Import process is coming next week!

When importing employees, the system will now automatically detect potential duplicate users and flag them as exceptions, giving admins the ability to decide what to do with them, rather than the system silently overwriting an existing user or creating a new one. Detection is based on a match of surname, date of birth, and email address.

When a potential duplicate is detected, admins will have three options:

  • Update the existing user: if the imported record belongs to someone already in the system (for example, they've changed their name), you can update their existing profile with the new details

  • Create a new user: if it's genuinely a new person, you can proceed with creating a new user

  • Confirm as duplicate: if the record is a duplicate and no action is needed, you can mark it as such, and it will be ignored going forward

A few things to keep in mind:

  • If no action is taken and the exception is left unresolved, it will continue to appear on subsequent imports. It won't block the rest of the import from running.

  • Previously resolved exceptions will show with a previously rejected banner so admins always have a clear history.

  • When resolving an exception, the action button remains disabled until a selection is made, preventing accidental duplicate profiles from being created.

  • This applies to both manual and automated imports.

  • This area is only visible to admins with import permissions.


Event Type - completion status configuration

We're introducing a new level of flexibility in how events are marked as complete.

Previously, users had to pass an event in order to receive a training record and be marked as complete. We're now adding the option to configure events, so that simply attending is enough for completion (no pass or fail required).

This is configured at the event type level. When creating or managing an event type, you'll see a new completion status field at the bottom, with two options:

  • Passed: the default behaviour. Users must pass the event to be marked as complete and to receive a training record.

  • Attended: users are marked as complete simply by attending the event, with no pass or fail needed.

A few things to keep in mind:

  • This setting is mandatory when creating a new event type, so you cannot skip it.

  • Once set, the completion status is read-only and cannot be changed afterwards.

  • If the event is part of a Learning Journey, it will be marked as complete based on this configuration.

  • If you don't configure this, the default remains Passed. Nothing changes unless you explicitly set it to Attended.

This will be available in both the old and new version of CPL Learning.


What's New

New Admin Tool - now in progress

We've started work on a brand new Admin Tool experience, built directly into the new version of CPL Learning. This means you no longer need to navigate to a separate application.

The current Admin Tool has evolved over time without a clear structure, resulting in a long sidebar that can be difficult to navigate. The new experience replaces this with a modern, organised layout, grouped into logical sections and consistent with the rest of the new version of CPL Learning.

You can find the new Admin Tool under Management → Admin in the new version of CPL Learning.

The following sections are already available:

  • Employees

  • Sites

  • User Groups

  • Details

  • Divisions

  • Positions

We're rolling this out gradually, releasing new sections week by week. As new sections become available, they'll automatically appear in the new Admin Tool.

Along the way, you'll notice an updated look and feel. Expect improvements to existing functionality and some new features appearing as we go.

In the meantime, a banner will always be available to take you directly to the Legacy Admin Tool, so you can still access any functionality that hasn't yet been moved across.


Learning Journey — prerequisite tile auto-satisfied

We've made an improvement to how Learning Journeys handle prerequisite sections when not all items are allocated to a user.

Learning Journey tiles can be configured with a prerequisite rule, requiring a user to complete at least one item from a previous tile before the next one unlocks. However, when a user had no items assigned in that prerequisite tile, there was nothing for them to complete. As a result, the next tile remained permanently locked with no way to progress.

This has now been fixed. If a prerequisite section contains no items allocated to the user, it will automatically be considered satisfied, and the next section will be unlocked.

Already affected by this?

If you have a journey that was impacted by this behaviour, it won't be resolved automatically. We recommend republishing the journey to all users. This will trigger a full recalculation of the locked and unlocked statuses, and users will see the correct state the next time they access the journey.


Insights- now accessible from the new version of CPL Learning

Insights is now accessible directly from the new version of CPL Learning. There is no need to navigate away or use a separate route to reach it.

You'll find the Insights link in the side navigation. Clicking it will open Insights in a new browser tab.

Please note: the link is visible to all users, but access to Insights remains permission-based. Only users with the relevant permissions will be able to access it.

We're rolling this out gradually across our customer base.

This release represents a significant step forward for CPL Learning.
