Configure compliance groups in Access CPL Learning Evo

Keep your teams compliant and your training data accurate by setting up compliance groups, aligning them with course allocations, and defining completion requirements in Access CPL Learning Evo.

Compliance groups are a fundamental configuration area in the Admin tool for Access CPL Learning Evo. Correctly configured compliance groups ensure that the right learning and compliance data are available in Evo, allowing features such as Copilot, AI Assistants, and Connectors to provide accurate information.

Plan your compliance groups

Before creating a compliance group, review your existing user groups and allocation rules.

To review your user groups, follow the steps below:

  1. Sign in to the Admin tool, then click User Groups.

  2. Next to Create, click the three-dot menu.

  3. Click Download user group makeup.

  4. Open the exported Excel file.

    • The first tab shows the user group criteria, including the group ID, group name, and criteria used to define the group.

    • The second tab shows the allocation rules for each user group.


Best practices

Use these best practices to ensure compliance groups reflect how content is allocated, and users are assessed for compliance in Access CPL Learning Evo.

  • Mirror user group allocation rules: If you have a Head Office user group, you can create a corresponding Head Office compliance group.

    • The content within the compliance group should reflect the content you allocate to that user group.

    • This allows Evo AI features to assess compliance against the correct criteria.

  • Separate groups when completion rules differ: Create separate compliance groups when content has different completion periods.

    • Example:

      • Food Safety Level 2: Complete within seven days.

      • Recruiting Winners: Complete within 30 days.

  • Use a modular structure where appropriate: Compliance groups do not have to follow the same structure in every case. You can use a more modular approach where this better reflects your organisation's requirements.

    • For example, you can create separate compliance groups for:

      • Induction courses.

      • Soft skills.

      • Other specific areas of compliance.

  • Match the user group to the allocated content: The user groups in a compliance group must match the user groups that have the relevant content allocated.

⚠️Warning: Don't use an All Users group unless the content is assigned to all users. If the content is assigned to only some users, using an All Users user group can result in inaccurate compliance information.


Set up compliance groups

Once you have planned your compliance groups and identified the relevant user groups and learning requirements, you can configure the groups and make compliance information available to users.

👉Configure compliance groups: Create compliance groups, add learning items and user groups, and define completion requirements.

👉Add compliance widget: Once you've configured your compliance groups, you can add the compliance widget to ensure users can see their compliance status.

👉User visibility and course completion: Understand what users can see in the compliance widget, including required items, due dates, overdue items, and upcoming learning requirements.
