Manage and access your CPL Learning content within Evo

CPL Learning is available directly within Evo, giving you access to your learning platform without needing to open a separate application.

The CPL Learning navigation menu provides quick access to key learning features, including content libraries, courses, checklists, surveys, appraisals, and management tools.

Use CPL Learning in Evo to:

  • Access your existing learning content from the Content Hub.

  • Launch and manage Courses, Checklists, Surveys, and Appraisals.

  • Access learning materials and resources stored in the Library.

  • View upcoming learning activities and events.

  • Create and manage Learning Journeys and other CPL Learning content through the Management area.

  • Manage platform settings and content administration from the Management menu.

  • Navigate all CPL Learning features without leaving the Evo environment.


Access CPL Learning account within Evo

To access the CPL Learning account within Evo, follow the steps below:

  1. Click the Access logo in the top-left corner of your screen.

  2. In the Products panel that opens, click CPL Learning.

    • The view has changed slightly in Evo, but everything you know about CPL Learning remains the same.


Mark a course as obsolete in Evo

When a course is no longer required, but you need to retain historical learner data, you can mark the course as obsolete. This hides the course from the course library while preserving existing assignments, completions, and reporting information.

⚠️Important: The ability to mark a course as obsolete is available to both course owners and CPL Learning administrators. However, only the course owner can mark their own course as obsolete or reinstate it once it has been marked obsolete.

To mark a course as obsolete, follow the steps below:

  1. From the left-hand navigation menu, click Management.

  2. Click Content, then click Courses.

  3. Choose the appropriate course category:

    • All Courses.

    • Custom Courses.

    • xAPI & SCORM.

  4. Click the course you want to manage.

  5. Scroll to the bottom of the course details page, then click Mark obsolete.

    • A confirmation window will appear explaining the impact of this action before it is applied.

Course behaviour after being marked obsolete

Once a course is marked as obsolete:

  • The course is immediately hidden from the course library.

  • The course is hidden for all companies that have shared access to it.

  • Course data, learner records,

    and completion history remain intact.

  • Existing learners assigned to the course can continue to access and complete it.

  • The course continues to appear in Journey reports with an Obsolete label.

  • Course owners can reinstate the course at any time.

  • Administrators can use the Include obsolete filter to locate and view obsolete courses when required.

For non-owner administrators

If you are a CPL Learning administrator but do not own the course:

  • You can see that the course has been marked as obsolete.

  • You can't mark the course as obsolete or reinstate it.

  • Only the course owner can manage the obsolete status.

  • A message is displayed on the course:The owner has marked this course as obsolete. Please contact them if you have any queries.

Marking a course as obsolete does not:

  • Delete the course.

  • Remove learner completion records.

  • Remove existing allocations.

  • Affect reporting on learners already enrolled.

This feature provides a safe way to manage outdated or duplicate courses while preserving all historical learning data.


Learning Journeys: Create Images with Copilot AI

Create custom images for your Learning Journeys using Copilot AI. Simply describe the image you want, and Copilot AI will generate it for you.

To create an image with Copilot AI, follow these steps:

📌Note: The image is used for the Learning Journey swimlane in the Content Hub. Once the image is saved, it is applied immediately and does not require the Learning Journey to be published. If no image is selected, the swimlane uses the platform's primary branding colour.

  1. From the left-hand navigation menu, click Management.

  2. Click Content, then click Learning Journeys.

  3. Click Create, then click Create new journey.

  4. Enter a name for the journey and choose the appropriate display settings.

    • Grid View: An adaptive view that organises resources based on completion status.

    • Journey View: A chronological view that represents progression in a timeline. Completed resources remain in place, preserving the learning journey.

  5. In the Hero Image section, click Copilot AI Generate.

  6. In the Generate Image with Copilot AI window, enter a detailed description of the image you want to create.

  7. Click Generate image, then review the generated image.

    • A preview of the generated image is displayed.

  8. Click Regenerate to create a different version or click Use this image to continue with the selected image.

    • The image opens in the image editor.

  9. Reposition and zoom the image within the 4:3 crop area as required.

  10. Click Done, then click Save.
