Link a training record to a course
⚠️Important: To have a training record assigned to a person’s account and be reported on, you need to have a description. The training record import/mapping will allocate the training record and mark it complete, not the course.
To link a training record to a course follow the steps below:
Note: You need specific permission to link a training record to a course, if you don't have it adress this to your Head Office or use the Access Digital Assistant for further support.
Log in to the Admin Tool then click Config.
Find the training record then click
the link icon.
In the search box, type in the course name and select it from the drop down.
To unlink a course, click
the bin icon.
Click Link then click Close.
Bulk upload training records
Note: You need specific permissions to bulk upload training records, if you don't have it address this to your Head Offfice or use the Access Digital Assistant for further support.
To bulk upload training records follow the steps below:
Log in to the Admin Tool then click Imports.
Before you start, you must check and set up the training record descriptions that you need to import and link them to a course.
Click Training Records Import then click New Import.
Click Download Template, then click Download.
Locate the downloaded training record import file in your downloads folder.
Fill in the document with the training data you want to import, then save it.
Identify the users by adding their CPL Reference or External Reference.
In the appropriate column, enter the name of the course you want to link to the training record.
Click Select from file then upload the completed template.
Click Next step, then choose how you would like to identify user accounts using one of the available options:
Company External Reference: Each user you upload will need one entered on their account and already entered on the document.
CPL Multi User ID: All users have one and is found next to a user's account name in the Admin Tool.
Select a field from the drop-down menu, for example, external reference.
Select the relevant course for each training record.
This needs to correspond to the column title in your document.
Click Next step.
Check the below is correct before importing. If you need to make any changes you can go back to the previous steps.
Click Import.
Allow four hours for the data to reflect on stats and reports.
