Create and manage events within campus

You can create and manage events using the event editor.

Access the event editor

To access the Event Editor please follow the steps below:

  1. Log in to campus.

  2. From the landing page click on the Events tab.

  3. Click the Settings Cog to access the events editor.

Create an event type

To create an event type in the Events Editor please follow to steps below:

  1. Log in to your campus.

  2. Click the Events widget.

  3. Click the Settings Cog to access the event editor.

  4. Click the + icon next to Event Types.

  5. Complete the mandatory fields within the new Event Type window.

    • Category: Useful for grouping event types if they share a common theme.

    • Requirements: Here you can prevent people from booking this event unless they have attended the events listed under requirements.

    • External reference: Allows you to record a reference number within the platform to link to another system or a provider.

    • What to expect: Gives you space for a description of the event.

  6. Click Save.


Add attachments to an event type

To add attachments to an event type in the Events Editor please follow to steps below:

  1. Log in to campus.

  2. Click the Events widget.

  3. Click the Settings Cog to be access the events editor.

  4. Locate the event type you wish to add attachments to.

  5. Click on the 3 dots on the event.

  6. Click on Attachments.

  7. Click Upload and select the item you require to attach to this event.


Edit a created event type

To edit an event type that has already been created in the Events Editor please follow to steps below:

  1. Log in to campus.

  2. Click the Events widget.

  3. Click the Settings Cog to be taken to the Events Editor.

  4. Locate the event you wish to edit.

  5. Click on The Event you wish to edit to be presented with the form.

  6. Once you have made all changes within the form click Save Changes.


Edit restrictions on who can view events

To edit restrictions on who can view events type please follow to steps below:

  1. Log in to campus.

  2. Click the Events widget.

  3. Click the Settings Cog to be taken to the Events Editor.

  4. Locate the event type you wish to edit the restrictions for.

  5. Click on the 3 dots on the event.

  6. Click on Who Can See This.

  7. Search for the group you wish to restrict the folder or item to and select it.

  8. Once selected you will the users who fall within that group.

  9. You can specify more groups if needed. Once you're happy with the selection click Done.


Create a venue

To create a venue in the Events Editor please follow to steps below:

  1. Log in to campus.

  2. Click the Events widget.

  3. Click the Settings Cog to be taken to the Events Editor.

  4. Click the + button next to Venue.

  5. You will now need to complete all the mandatory fields within the Venue window.

  6. Once completed click Save.


Create a trainer

To create a trainer in the Events Editor please follow to steps below:

  1. Log in to campus.

  2. Click the Events widget.

  3. Click the Settings Cog to be taken to the Events Editor.

  4. Click the + button next to Trainer.

  5. If your trainer is already a user on the platform click on the Link To An Existing User button and search for your existing user.

  6. If your trainer is not already a user on the platform you will now need to complete all the mandatory fields within the trainer window.

  7. Once complete click Save.


Create an event

To create an event in the Events Editor please follow to steps below:

  1. Log in to campus, then click the Events tab.

  2. Click the Settings Cog to be taken to the Events Editor.

  3. Click the plus icon next to Event.

  4. On the new event window select the Organiser, Event Type, and Trainer you configured earlier.

  5. Click Next.

  6. Select the Venue, Minimum, and Maximum attendees for the event.

  7. Add an online ID (optional, if it is an online meeting add the link to join the meeting in this field)

  8. Click Next.

    • Fill out the optional requirements within the next page and once complete click Next.

    • Add the date and time for the event, you can add multiple dates and times for events.

  9. To make the event visible within your platform click Publish.


Create a virtual event

To create a virtual event such as those hosted on Zoom or Microsoft Team you can set the event to be online.

To create a virtual event follow the steps:

  1. From the landing page click on the Events tab.

  2. Click the Settings Cog to be taken to the Events Editor.

  3. Click plus icon to create a Venue.

    • Make the online toggle active.

    • Complete the relevant details of this venue.

  4. Click Save.
