Bulk user creation allows administrators to add multiple team members to the CPL Learning platform using an Excel import file. This process ensures users are created consistently, with correct site assignment, field mapping, and secure login setup.
Important requirements before import
To ensure your staff is imported in the correct format, download this Excel sheet and add your new employees to it.
Before starting the import, ensure the following data is completed correctly in your Excel file:
First name and surname must be populated.
Site external reference must be included to assign users to the correct site.
User external reference must be included to prevent duplicates and update existing users.
Position and Division must be valid if provided.
Passwords are only set during creation and cannot be updated via import.
Empty fields will not overwrite existing user data.
Create learners using the import tool
β οΈImportant: If you can't find the import option on your dashboard that means you don't have the right permission, and you need to address this to your admin or Head Office.

To import new staff, follow the steps below:
Log in to the Admin tool.
Click Import, then click Employees Import.
Once you download the Excel sheet, you can add additional columns, such as email addresses or dates of birth.
Click New Import, then upload the Excel file.
For each column header, the administrator must select the corresponding mapped field from the dropdown list.
Typical mappings include:
First Name β First Name.
Surname β Surname.
Position β Position.
User External Reference β User External Reference.
Site External Reference β Site External Reference.
Site β Site.
Date of Birth β Date of Birth.
Set user password.
Choose how passwords will be generated for newly created users:
Fixed password: Manually entered.
Random password: Consisting of ten alphanumeric characters.
Date of birth format: YYYYMMDD.
Click Next, then click Import Preview.
This shows a summary of the upload, including:
Total number of rows in the file.
Valid inserts.
Any exceptions, errors, if applicable.
Click Begin Import.
You'll see a confirmation message indicating that the import has been queued.
This means the process is running in the background and may take some time to complete. You can close the message and check back later to monitor progress.
Once the import has completed, you'll be able to view the usernames and passwords for the staff you have created. You can then send these out to your staff, and they can log into their CPL learning account.
