Use the Collaborate feature in Evo

Admins can create and manage team sites in Collaborate to organise tasks, share documents, and collaborate effectively with team members.

Collaborate provides a central workspace where teams can work together, share information, and stay organised. By creating dedicated sites, teams can manage tasks, store documents, and control member access within a secure and structured environment. Sites help streamline collaboration by providing a shared location for documents, tasks, and team activities.

Access the Collaborate feature in Evo

To access the Collaborate feature follow the steps below:

  1. Click the Access logo in the top-left corner of the screen.

  2. In the Products panel, click Collaborate.



Sites in Collaborate

Once you’re in Collaborate, you can create sites to organise teams and manage shared work. A site provides a dedicated space for a specific group of people in your organisation, where your team can:

  • Share and upload documents.

  • Create and assign tasks to track work.

  • Manage team membership.

  • Build sub-sites to organise work further.

You can create as many sites as you need, each with its own members, content, and settings.


Create a site

To create a site in Collaborate, follow the steps below:

  1. Click Create Site.

  2. Click Select to upload a logo from your device, or click Use Default to apply the default site logo.

  3. In the Name field, enter a name for your site.

  4. In the Description field, provide a brief description of the site's purpose.

  5. Enable the Invite all users checkbox to invite everyone in your organisation to the site.

    • Leave this option unselected if you prefer to invite specific members later.

  6. Click Create.

📌 Note: Once created, the new site appears in the Sites area, where you can manage content, documents, tasks, and membership from a single location.

Manage your site

Use the Actions menu next to the site name to manage your site. From here, you can:

  • Leave site: Leave the site and remove yourself as a member. You will no longer receive updates or have access to site content unless you rejoin or are added again.

  • Archive: Archive the site to preserve its content while making it inactive. Archived sites remain available for reference but are no longer actively used.

    • To view archived sites, open the Activity panel on the left-hand navigation menu, then click Archive.

  • Add to Favourites: Add the site to your favourites for quick and easy access.

    • Favourite sites can be viewed by selecting My Favourites from the Filter dropdown on the right-hand side of the page, making it easier to find the sites you use most often.

  • Delete: Permanently remove the site and all associated content.


Actions available after site creation

After you create a site, click the site name to open the site dashboard. The Available Actions panel on the right-hand side provides quick access to site management and collaboration features.

From the Available Actions panel, you can:

  • Create Task: Create and assign tasks to help organise and track work within the site.

  • Upload Document: Upload files and documents to share information and collaborate with site members.

  • Edit: Modify site settings, including the site name, logo, description, and other configurations.

  • Create Child Site: Create a sub-site under the current site.

  • Manage Members: Add people from your organisation or invite external guests to join the site.

    • When adding members, you can assign a role to control their level of access:

      • Administrator: Full control of the site, including site settings and member management.

      • Contributor: Can create, edit, and manage site content.

      • Read Only: Can view site content but cannot make changes

      • No access: Removes access to the site.

  • Leave Site: Remove yourself from the site if you no longer require access.
