You can bulk reset, archive or remove checklist items or folders.

In this section, you’ll find guidance on how to reset, archive or remove checklist items or folders for either individual users or user groups.

Bulk reset, archive or remove checklist items of folders

To bulk reset, arcgive or remove checklists follow the steps below:

⚠️Important: The changes aren't instantaneous. We recommend you allow some time for the action to update.

  1. Log into the Admin tool then click Bulk Actions.

  2. Click New Action, then select whether to apply it to:

  3. Search then select the users or user groups that you need.

  4. Click Next Step then select Checklist.

    • Here you'll have two options:

      • Tick the box next to a checklist folder to apply an action.

      • Click the arrow next to the folder and select specific checklist items from the drop-down menu to apply an action.

  5. Select an action for your selected items:

    • Reset:

      • Checklists are intended to be a specific stamp in time to demonstrate a learner was compliant or competent against the specific checklist item.

      • Bulk actions allow you to reset checklist items or folders. This removes the record that the item was previously completed. Therefore, learners will no longer have proof of prior completion if you use the reset action.

      • Best practice: Create a new checklist item instead of resetting an existing one. This ensures that all previous completions remain documented while allowing learners to complete the new item.

    • Archive.

    • Remove permanently.

    • Remove permanently if not completed.

  6. Click Summary then click Run bulk action.

📌Note: You need to be an administrator to do this. If you don't have the relevant permission, address this to your Head Office.

View and export your bulk actions history

After you complete a bulk action, you can view all the actions you previously performed. The history displays the following information:

  • Action: Whether it was reset, removed, or archived.

  • Type: Where the action was applied.

  • Number of items: Number of checklist items that were affected.

  • Number of team members: Number of users the action was applied to.

  • Date: When the action was performed.

  • Status: Shows complete if the action has finished.

  • Export bulk actions history: Click download arrow on top left corner.
