Set up compliance groups

You can configure compliance groups, set completion requirements, and give users visibility of their compliance status.

Written by Andreea Nicoara

Compliance groups can be configured in two stages, both for administrators to define compliance for a company and for users to get visibility on what is next for them to become compliant.

Choose how to create the compliance group

In the Compliance Group section, you can choose how you want to create the compliance group:

  • Set up a compliance group: Create a new compliance group from scratch by adding the required learning items, completion rules, and user groups.

  • Import NRC: Import existing reporting configuration columns from the Admin tool into the compliance group.

Configure compliance groups

To configure compliance groups from scratch, follow the steps below:

📌Note: If you don't have the relevant permission, address this to your Head Office and request compliance group management permission.

  1. Log in to the Admin tool.

  2. Click Compliance Groups from the dashboard.

  3. Click Create, then name the compliance group.

    • For example: Allergens, Food Safety, Health and Safety, Key Policies.

  4. Click the Plus + icon to configure what makes up the compliance group.

    • Include relevant courses, library items, checklist items, surveys or appraisals.

    • For example, if you create an allergens compliance group, it might include five different allergen courses.

  5. Set the completion behaviour:

    • Complete Any Items: Users can complete any of the listed items to be considered compliant.

    • Complete All Items: Users must complete all listed items to be considered compliant.

  6. Select the grace period:

    • Number of days: Users have the configured number of days to complete the compliance group once they become part of a group.

    • Fixed date: Users that fall within this compliance group must complete the group by the date provided.

  7. Click the Plus + icon to select your user groups.

    • Determine which user groups are required to complete the compliance group.

    • Add exemptions for specific user groups if necessary, like maternity leavers.

  8. Click Save.

Import NRC

If you already built reporting columns in the Admin tool, use Import NRC to pull those columns into the compliance group automatically.

To import a new reporting column, follow the steps below:

  1. Log in to the Admin tool.

  2. Click Compliance Groups from the dashboard.

  3. Click Import NRC.

  4. Click Import again to continue.

    • Example use case: If you created an Allergens reporting column with multiple course versions for front-of-house and back-of-house teams, the import will use that structure to build the compliance group.

  5. Set the completion behavior:

  8. Click Save.

  • A list of required compliance items.

  • Items are ordered by due date, with overdue items at the top.

  • Overdue items are highlighted at the top.

  • What needs to be completed next.

  • Courses are listed even if not currently allocated to the user, ensuring visibility of required compliance.

  • Compliance groups are not driven by course allocation.
