Create and assign tags to members

You can use tags in Access Evo to group members by attributes such as job title, office location, or department. Once assigned, tags make it easier to identify and search for members with specific attributes.

Tags can help you manage and organise members by specific attributes. Once tags are assigned, you can use them to filter members, identify groups of users, and see how many members have a particular tag.

Create a tag

To create a tag, follow the steps below:

  1. Click your name in the top-right corner.

  2. Click Tags, then click Add tag in the left-hand corner.

  3. Enter a tag name, then click the colored circle next to it to open the color palette.

  4. Mark the Make this tag active? checkbox to enable the tag.

  5. Click Next, then set tag visibility.

    • Only Administrators: The tag will only be visible to administrators.

      • Example: Select Only Administrators to restrict the tag's visibility to administrators. In Tag Permissions, select No, only administrators will be able to see them. Review the settings displayed in the Tag Summary.

    • Anyone: The tag will be visible to all users.

  6. Click Finish.

Add a tag value

Once a tag has been created, you can add one or more tag values to it. Tag values represent the specific options that can be assigned to users. For example, if you create a Job Title tag, you can then add job positions as tag values, such as Area Manager, Assistant Manager, etc.

These tag values can then be assigned to users to help categorise and organise employee information more effectively.

To add a tag value, follow the steps below:

  1. Click your name in the top-right corner.

  2. Click Tags, then click the tag you've created.

  3. Type the tag value in the Add tag value field.

  4. Click the plus icon to add a tag value.

    • Example:

      • Tag: Job Title

      • Tag Values: Area Manager, Assistant Manager, General Manager, Supervisor, Managing Director.

  5. Click the three-dot menu next to the tag value name to view the available options.

    • From here you can:

      • Edit: Modify the tag value.

      • Delete: Remove the tag value.

      • View members with this tag: See which members have been assigned the tag value.


Assign a tag to a team member

To assign a tag to a team member, follow the steps below:

  1. Click your name in the top-right corner.

  2. Click Members, then click the user you want to assign a tag to.

    • The member details panel will appear on the right-hand side of the screen, where you can assign the appropriate tag value.

  3. Click Actions, then click Manage tags from the drop-down menu.

  4. Locate the tag category you want to assign.

  5. Click the drop-down arrow next to the relevant tag category to view the available tag values.

  6. Select the required tag value from the list, then click Save Changes.
