A streamlined and engaging onboarding process is essential for new employees to integrate successfully within an organisation. This audit provides a comprehensive review of your system's features, focusing on login procedures, notifications, welcome emails, surveys, and more to enhance engagement, compliance, and team development.

Login Process

  • Email verification and usage: If provided during onboarding, we use the email address as the username for future logins, making it easier for learners to remember their username and to use features like Magic Link Login.​​​​​​

  • Account management: Users can now re-use the same email address across multiple accounts, linking logins for easy switching without sharing data between organisations.


Welcome emails

Welcome emails set the tone for a positive onboarding experience.

  • Resend functionality: Admins can resend welcome emails to ensure employees receive critical login details.

  • Customise content: Welcome emails can include platform access information and resources to ensure a smooth start.


Notification preferences

Effective communication through notifications enhances user engagement. Admins can configure notifications to be sent via:

  • Email, push notifications, or platform feed, depending on the user’s preferences.

  • Padlock feature: Admins can lock or unlock notification settings, ensuring users only receive crucial updates.

  • Targeted messaging: Notifications can be sent to specific individuals or user groups, ensuring relevant information is delivered where it’s needed most.


Manage feeds on discover channel

The Discover Channel allows learners to engage with content through a centralized feed

  • Tagging for improved engagement: tags help target content based on user interest, driving more engagement.

  • Content type Indicators: users can easily identify resource types, improving decision-making on which items to engage with.

  • Audience Management: admins can control who sees specific content, ensuring that materials reach the right audience.

  • Filter and search through your Discover feeds.


Course Allocation

Assigning courses based on job roles, locations, or start dates is key to ensuring employees get the right training at the right time.

  • Automated course assignments: Courses can be allocated to specific user groups, ensuring that content is relevant to the learner.

  • Continuous learning: Through the system’s allocation feature, courses remain accessible for employees to complete at their own pace.


Checklists

Checklists/authorisations are a tool that guides a step-by-step process where both the learner and manager confirm and prove their competence at different points in time. This way, it ensures a clear and reliable assessment of skills and knowledge.

  • Dual sign-off: Checklists can require both the employee and manager to sign off, ensuring accountability.

  • Resource integration: Checklists can include specific learning materials or tasks that need to be completed before advancing to the next step.

  • Final sign-off: This confirms that all tasks in the onboarding process are complete, providing a clear endpoint.


Surveys

Surveys are a powerful tool for gathering employee feedback during onboarding:

  • AI-Generated Surveys: Admins can create surveys using AI, which asks a few initial questions to generate content based on user preferences.

  • Survey editor: This allows for customizable surveys from scratch or templates. Surveys can be configured as splash surveys (displayed immediately upon login) or normal surveys.

  • Flexible question formats: Admins can add questions, set mandatory fields, and preview the survey before allocation.

  • Survey allocation: Surveys can be allocated to individuals or user groups, ensuring targeted feedback collection.
