Create and manage library folders

You can create, edit or restrict library folder or items.

Note: Only admin users or administrators can access the library editor, if you don't have the relevant permission address this to your Head Office

Access your library editor

To access the Library please follow the steps below:

  1. Login to console.

  2. Click the Library widget.

    • This may be named something different by your organisation.

  3. Click Manage Library.

Create a folder in the library

To create a folder in the Library and add your first item please follow the steps below:

  1. Login to console.

  2. Click the Library widget, then click Manage Library.

  3. Click Add New on the left side, then select folder.

  4. Type in a name for your folder, then click Create.

    • Once you've created your folder you'll be prompted to add your first item into the folder.

  5. Click Select Files To Upload.​

    • ​​​​​​To add an item from a link enter a link into the Provide a URL to a link item field.

  6. Enter a title for your item.

  7. Click Select Thumbnail to select a thumbnail for your item.

  8. To save your item in the folder click Create.


Add additional items to a folder in the library

To add additional items to a folder on the bookshelf follow the steps below:

  1. Login to console.

  2. Click the Library widget, then click Manage Library.

    • Click the folder you wish to add an item into.

  3. Click Add New on the left side, then select item.

    • ​​​​​​​You have the option to select files to upload or add a URL to link to.

  4. Click Publish.


Edit an item within library

To edit an item within your Library please follow the steps below:

  1. Login to console.

  2. Click the Library widget.

  3. Click Manage Library.

  4. Locate the item you wish to edit.

  5. Click the 3 dots on the item.

  6. Click edit.

    • Within this window, you can upload a revision of the item, change the title of the item, and change the thumbnail of the item.


Change the name of a item on the library

To change the name of a library item follow the steps below:

  1. Login console.

  2. Click the Library widget.

  3. Click Manage Library, then locate the item you wish to edit.

  4. Click the 3 dots on the item.

  5. Click Edit and change the title.

  6. Click Save Changes.


Upload a new version of a file on the library

To upload a new version of a file on the Bookshelf or Library item, please follow the steps below:

  1. Login to the console.

  2. Click the Library widget.

  3. Click Manage Library, then locate the item you wish to edit.

  4. Click the 3 dots on the item.

  5. Click Edit.

  6. Click Upload Revision.

  7. Click Click To Upload or drag and drop the file.

  8. Click Save Changes.


Change the thumbnail of an item within library

To change the thumbnail of a file on the bookshelf or library item, follow the steps below:

  1. Login to console.

  2. Click the Library widget.

  3. Click Manage Library.

  4. Locate the item you wish to edit.

  5. Click the 3 dots on the item, then click Edit.

  6. Click Edit Thumbnail.

  7. Select a previously used thumbnail or to upload a new thumbnail click Upload.

  8. Click Select File, then click Save Changes.


Add a subfolder to a folder within library

To add a subfolder to a folder within the Library please follow the steps below:

  1. Login to console.

  2. Click the Library widget.

  3. Click Manage Library.

  4. Click the folder you wish to add a subfolder into.

  5. Click Add new, then select folder.

  6. Add a title, then click Create folder.


Restrict who can view folders or items within library

To restrict who can view a folder or item with the Bookshelf please follow the steps below:

  1. Login to console.

  2. Click the Library widget, then click Manage Library.

  3. Locate the item or folder you wish to restrict.

  4. Click the 3 dots on the item or folder, then click Who Can See This.

  5. Click Add Group in the upper right area of the screen.

  6. Search for the group you wish to restrict the folder or item, then select it.

    • Once selected you will see the users who fall within that group.

    • You can specify more groups if needed.

  7. Click Done.


Delete an item or folder from library

To delete an item within the Bookshelf please follow the steps below:

  1. Login to console.

  2. Click the Library widget.

  3. Click Manage Library.

  4. Locate the item you wish to edit.

  5. Click the 3 dots on the item.

  6. Click Delete.

    • Folders are automatically removed from library when there are no items within them.


Download company policies and procedures

To access your company policies from the library section follow the steps:

  1. Login to console.

  2. Click the Library widget.

    • This may be named something different by your organisation.

  3. Click on the item that you need then, click Download.

  • After downloading a file, you can check the download status by clicking on the three dots at the top-right corner of the browser window. From there, you'll see an option labeled Downloads which you can click to view the downloaded files.
